Staff Accountant

KEY RESULTS AREA

Maintains financial reporting systems, including fund accounting, in support of Maranatha operations.  Supports the Operations team with financial reporting tools that allows for effective financial analysis/decisions in accordance with sound accounting and business principles, procedures and practices.

PRIMARY AREAS OF RESPONSIBILITY

  • Maintain all procedures, practices and controls related to the financial operations of the conference.
  • Maintain general ledger accounting in support of all required financial reporting for the non-profit entity.
  • Oversee daily cash receipts, accounts receivable, accounts payable, non-designated gifts, designated gifts and non-cash gifts.
  • Oversee all resident billings, including annual lease fees, assessments, and other charges.
  • Prepare all record keeping and reporting related to local, state and federal agencies.
  • Coordinate internal and external audits as directed by the Board Treasurer.
  • Facilitate cash management programs.
  • Conduct banking transactions and bank reconciliations.
  • Administer the employee payroll system.
  • Prepare monthly financial reports in a timely manner.
  • Prepare and distribute monthly departmental budget/financial reports in a timely manner.
  • Maintain records including receipting of all financial gifts/donations to the various ministries of Maranatha.

SECONDARY AREAS OF RESPONSIBILITY

  • Assist in the maintenance of corporate insurance policies, claims, etc.
  • Other duties as assigned.

DESIRED QUALIFICATIONS FOR POSITION

  • Possess a bachelor’s degree in Accounting.
  • A strong accounting background with the ability to prepare monthly and annual financial statements is required.
  • A minimum of three to five years’ experience with a working knowledge of and experience in the following areas, including but not limited to:
    • Accounting (G.A.A.P, principles, procedures, systems and controls)
    • Personnel management (HR regulations, policies, payroll, etc.)
  • Ability to interact and support other department personnel.
  • Superior organizational and administrative skills.
  • Effective verbal and written communication skills.
  • Knowledge of Quickbooks, Excel, Megasys and Outlook is a plus

Retreat Sales Assistant and Coordinator

KEY RESULTS AREA

Support the Retreat Sales Manager in all aspects of Maranatha’s Retreat Group ministry including responsibility for hosting, group coordination and meeting space management.

PRIMARY AREAS OF RESPONSIBILITY

  • Support the Retreat Sales Manager in all aspects of Maranatha’s Retreat Ministry
  • Assist in coordination of retreat group activities to ensure that retreat groups clients and guests receive excellent services including pre-event planning, contracts, set up, hosting and follow-up.
  • Support the Guest Service Manager in all aspects of the Front Desk from mid-June thru mid-August while continuing to develop leads, assist in sales and coordination of the Retreat Ministry.

COORDINATING COMPONENTS

  • Maintain standard communication timeline with prospective group prior booking
  • Draft and send group contract after manager approval
  • Establish communication with contract groups concerning their upcoming event in a way that builds a relationship and represents a high level of service.
  • Complete Details list on Event time line and check list for groups moving to a contract.
    • Gather final details from group leader and prepare retreat prospectus sheets to be distributed and reviewed weekly at the staff retreat planning meeting.
    • Work with front desk agents to prepare for guest arrival
  • Flexible schedule to welcome incoming retreats and serve as desk agent when needed.
  • Recap and aid in rebooking of group for the following year.
  • Lead weekly retreat meetings

HOUSEKEEPING SUPERVISOR

KEY RESULTS AREA

  • In support of the Maranatha Mission statement, provide a clean and safe environment in all Maranatha guest rental facilities.

PRIMARY AREAS OF RESPONSIBILITY

  • Provides satisfaction and comfort for guest lodging experience.
  • Ensures guest satisfaction by providing servant leadership to housekeeping employees.
  • Provides clean, comfortable rooms in all Maranatha guest facilities.
  • Communicates in a timely manner with guests and staff.
  • Provides Maranatha with a trained housekeeping staff able to complete all cleaning duties & and hygiene standards in all guest rooms.
  • Functions as liaison between the housekeeping department and Guest Services management.

SECONDARY AREAS OF RESPONSIBILITY

  • Ensures high housekeeping standards by hiring, scheduling and communicating with housekeeping employees. Assigns workers their duties and inspects work for conformance to prescribed standards of cleanliness. Establishes cleaning standards and procedures for work of housekeeping staff.
  • Obtains list of rooms to be cleaned immediately and list of prospective check-outs or discharges to prepare work assignments. Advises manager, desk clerk, or admitting personnel of rooms ready for occupancy.
  • Evaluates records to forecast department personnel requirements. Improves service and ensures more efficient operation by training housekeeping employees.
  • Oversees laundry function and linen supply as well as all necessary supplies and equipment utilized in the housekeeping process.
  • Investigates complaints regarding housekeeping service and equipment, and takes corrective action. Coordinates and communicates with other departments.
  • Orders supplies and works with vendors to receive competitive pricing.
  • Creates housekeeping schedules and assigns duties within the allotted budget for labor hours.
  • Works with outside services to insure competitive pricing and oversees their results to insure they meet Maranatha standards and within agreed time frame.
  • Performs cleaning duties, and trains employees.
  • Manages the lost and found system and establishes a communication process to return found items in a timely manner and log requests for items lost.
  • Manages employees resulting in a positive staff morale.
